Qualtrics is UBC’s primary tool for creating surveys and collecting and analyzing survey data.In Qualtrics, you can build custom surveys for your students or for other people that are specifically tailored to your pedagogical needs. Survey questions can take many forms and include advanced features such as branching, where answers to earlier questions dynamically change what later questions are asked.

What can I use it for?

You can use Qualtrics for collecting many types of feedback:

  • Running pre- and post-surveys to gauge changes in understanding course material
  • Soliciting student opinions or feedback
  • Testing comprehension of course material with quiz questions
  • Collecting research data
  • Managing consent forms or sign-ups for activities

What do I need to use Qualtrics?

A supported web browser

Qualtrics runs in your web browser and supports using Chrome, Edge, Firefox, Internet Explorer, or Safari. We recommend that you always use the most up-to-date version of your browser for the best experience.

A Qualtrics account

Accounts for Qualtrics are based on UBC CWLs (Campus-Wide Logins), so all faculty, staff, and students who have a CWL can create an account themselves. Account creation will happen automatically the first time you log in to Qualtrics.

Tips

  • You can log in to Qualtrics atubc.qualtrics.comwith your UBC CWL.
  • Students can also create Qualtrics surveys, making this tool a valuable option in courses where you want students to collect feedback themselves.
  • You can collaborate with others on Qualtrics surveys, including people from outside of UBC. Collaborators can receive different levels of access for each survey.

How do I use Qualtrics?

To use a Qualtrics survey in your course, you will need to create a survey, add questions to it, then distribute the survey and analyze the results.

Create a Qualtrics survey

Surveys in Qualtrics are called projects, so you will begin by setting up a new project.

  1. Log in toubc.qualtrics.comusing your UBC CWL. This will open your Qualtrics projects page.
  2. On your projects page, you will find a listing of all the surveys that you own or collaborate on. To create a new survey, clickCreate new project
  3. Select how you would like to create your survey:
    • Create from scratch by clickingSurvey
    • Create from existing data by clickingImported Data
    • Create from a template for a head start on a particular kind of survey by selecting atemplate option
  4. Give your project aname, then clickGet Startedto create the survey.

Tips

  • You also have the option of copying an existing surveywhen you create a new survey, if you want to re-use a set of questions.
  • You can share access to any survey by adding collaborators to your project。From the projects page, add a collaborator by clicking the more options icon (the 3 horizontal dots) next to your project, then selecting "Collaborate". You can add people by Qualtrics username or an email address and set what access you'd like them to have for the project.

Build the questions in your Qualtrics survey

After you've created a new survey project, you can begin adding questions to your survey. Question blocks are used to organize your survey questions into groups. By default, one question block is provided in your survey for you to build questions in, but you can add more. Each block of questions will be shown to respondents on a separate page.

  1. Log in toubc.qualtrics.comusing your UBC CWL, and click theprojectyou want to edit.
  2. ClickCreate a New Questionat the bottom of the survey.
  3. Click thequestionyou added and a panel of customizable options for it will open on the right-hand side. You can modify many aspects of the question in the panel, including the question type.
  4. Build out your survey questions:
    • To the change the text of a question or its answers, click thetextdirectly and begin editing.
    • To move a question, hover over the question and click theup arrowordown arrowthat appears on the left-hand side.
    • To add a new question block, clickAdd Blockat the bottom of the survey.
    • ClickPreviewat any point to test your survey as a respondent.
  5. When you are finished building your survey questions, clickPublishto save your changes.
    • For new surveys, please note publishing willnotmake the survey live for others to see. You will need to follow the instructions in the distribution section of this guide to make your survey live.

Tips

  • Qualtrics provides more than 100 question types to choose from in building your survey。You can learn more about theavailable question typesin the Qualtrics documentation.
  • Once you've added a question to your survey, you can insert new questions before or after itby hovering over the question and clicking the plus icon that appears on the right-hand side. This feature is useful if you decide to add a new question later to an earlier part of the survey.
  • Adding content validation to a question helps ensure that you will receive the correct answer formatfrom respondents. Click any question to see thecontent validation optionsfor that question type.
  • You can force a response on any question to require respondents answer the questionbefore submitting the survey. Click any question to see theforce response options
  • You can prepare your survey outside of Qualtrics and then import your questions.Creating your questions outside of Qualtrics can be useful if you intend to copy or add large amounts of questions at once. Qualtricsaccepts imported questions using their .txt or .doc templates

Customize options in your Qualtrics survey

Qualtrics offers many ways of customizing your survey. The following are a few of the more commonly used options that may be helpful to add, once you've created your survey and built in your questions.

Survey logic

Survey logic is what you can use to control which questions are shown to respondents, as it will hide or show questions depending on specific conditions you set. You can use "display logic" to control the conditions in which a question will appear and "skip logic" to control the conditions in which a question willnotappear. You can use both these functions to create survey branching, where answers to earlier questions dynamically change what later questions are asked.

Custom end-of-survey message

You can set up a custom message to display to respondents, once they complete a survey. You can use this feature to reveal information after respondents have completed the survey, like showing next steps to follow or other site links to explore.

Post-survey email

Trigger an email to be sent to respondents, once they've completed the survey. This email is useful if you would like to send a confirmation of survey completion or if there is information that needs to be revealed after the survey is submitted and you want respondents to have their own copy to reference.

Timer

If you host a quiz in Qualtrics, you may wish to add a timer. Qualtrics timers can be used to force respondents to continue to the next part of a survey after a certain amount of time has passed or to prevent continuing to the next part until a certain amount of time has passed. Note that this timer only affects questions in the samequestion block。If you would like a timer to apply to the entire survey, make sure your questions are all contained within the same question block.

Survey look

The look and feel of your survey can be modified by using different themes. Some themes allow further customization of areas like the the layout, background, and motion effects when moving between pages.

Distribute your Qualtrics survey

Once you've created your survey, built in your questions, and customized your options, you're ready to distribute your survey to respondents.

  1. Log in toubc.qualtrics.comusing your UBC CWL, and click theprojectyou want to edit.
  2. ClickDistributionsto find options for releasing your survey to respondents, including the two of the most commonly used options:
    • Anonymous Link: Use the anonymous link option if you would like to create a link to your survey that respondents can take anonymously.
    • Trackable Link: Use the personal or trackable link option if you would like to create unique links for each respondent. By using unique links, you will be able to track who has responded.
  3. Pick whichoptionyou'd like to use and follow the prompts to complete the distribution steps.

Analyze your Qualtrics survey data

Once you've collected responses to your survey, you can use Qualtrics to analyze and visualize the outcomes.

  1. Log in toubc.qualtrics.comusing your UBC CWL, and click theprojectyou want to review.
  2. ClickData & Analysisto find options for reviewing your survey responses, including three of the most commonly used features:
    • Data: Use the data page to view your raw data. In the table, you can filter the responses and add/remove fields to customize the view. If you prefer to work offline, you can export the data into several different formats.
    • Text: Use the text page to assign topics to the text-based responses of open-ended survey questions. This process is useful for surfacing themes from qualitative feedback that can be reported on. You canlearn more about text analysis optionsin the Qualtrics documentation.
    • Crosstabs: Use the crosstabs page to have Qualtrics analyze relationships between variables and determine if there is statistical significance. You canlearn how to set up crosstabsin the Qualtrics documentation.
  3. ClickReports和visualiza建立一个自定义的显示结果tions from your data that can also be shared as a link or downloadable file. You can include filters at the top to parse the data displayed in different ways.

Tips

  • You can save layouts for your data tables, so you can switch between different views of your raw data quickly. When viewing the table, click "Tools", then "Save Layouts" to create a new layout view. You will select your saved layouts from this same location.
